How do property management firms contact you for fees when you don't live in the address?

I have moved out of the flat (leasehold) that I own for quite some time.
I am aware there should be PM fees due but instead of emailing me or mailing to my new address, the PM firm keeps mailing stuff to that address which is now occupied by my tenant.

I simply cannot receive mails at that address anymore and mailing me invoices there will not get anywhere.

When you don't live in the address, how do PM firms contact you?

The onus is on you to tell them your new address. They don’t just magically know where you live.

Find a new PM firm if they refuse to contact you properly. I don't understand why it's even an issue, you have asked them to post to your new address or email?

If they keep refusing to update the correspondence address and are posting your letters to the wrong address, surely that's some kind of GDPR breach? The PM firm should be a data controller/processor with ICO registration.

How do you think they’re managing your property if they can’t handle and respect a basic request like this?

Put your foot down. They work for you. You pay them for a service.

Send them a recorded delivery letter (and send a PDF version in an email with confirmation of postal receipt) confirming the change of details and requesting that they confirm that the change has been paid accordingly.

If they still don't cooperate, raise a formal complaint.

If they still don't cooperate, notify the ombudsman service to which they belong.

Try all avenues - email, post, phone and even going in person if needed. Property management companies are notorious for being unhelpful particularly the likes of FirstPort.

Otherwise you may have to set up a post redirection via Royal Mail. Not ideal and also costly but could be a temporary measure.

Do you have AGM for residents ? You could bring it up there or try contacting the freeholder with a complaint about the property management company.

This seems very odd as I would have thought all management companies would invoice via email these days. Since you presumably owe them money, I imagine at some point the penny will drop and you will get an email from them.
